Privacy notice
This Privacy Policy explains how we collect, use and protect your personal data when you use the Tactran T2E Transport to Employment website (T2E).
This service is intended for personal use by individuals aged 18 and over. If you are aged under 18 you must not use T2E. We do not intend to collect the information of anyone under 18. If you are aware that any information of anyone under 18 has been provided access please let us know so that we can delete that data.
Individuals between the ages of 16 and 18 may be able to access T2E services on a case by case basis where provided by T2E directly, and NOT through the use of the T2E website except in making initial contact with T2E. Full details of use for individuals between the ages of 16 and 18 must be obtained by separate enquiry to: info@t2e.scot.
1. Who is responsible for your data
Responsibility for data lies with the Tayside and Central Scotland Transport Partnership (Tactran). Tactran is a statutory partnership established under the Transport (Scotland) Act 2005 and comprises Angus Council, Dundee City Council, Perth & Kinross Council, and Stirling Council (“Tactran”/ “we”/”us”).
In relation to the following data and processing activities, Tactran are data controllers.
This means Tactran are responsible for ensuring your data is collected, used and protected in accordance with UK data protection law, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
You are free to contact Tactran in relation to how we are processing your data and to enforce your rights. If you have any questions about how your data is used for the above processing, or wish to exercise any of your rights, please contact Tactran using the details in section 7 below.
2. What data we collect and why
We only collect information that is necessary to provide you with the Tactran T2E Transport to Employment service in accordance with the choices you make We do not require you to provide us with any personal data at any time except as necessary for the provision of transport services.
Depending on how you use Tactran T2E Transport to Employment, we may collect the following:
2.1 Information you give us
When you use T2E you may choose to provide us with the following information:
• Your email address, if you create an account
• Your name
• Your home address or other saved locations such as work
• Your date of birth
• Your mobile phone number
• Details of concessionary travel passes, railcards or other travel entitlements
• Travel accessibility requirements
• The date and time of pre-scheduled shift and activity start and end times.
You do not need to create an account or provide personal information to use the basic journey planning features of T2E, but the provision of these details will be necessary where T2E provide additional transport to meet your specific needs.
We do not knowingly collect personal data from minors under the age of 18 except where necessary for the provision of T2E transport, nor do we knowingly collect any information in relation to children under the age of 16. If you believe a child has provided us with personal data, please contact us using the details in section 7.
2.2 Information created when you use Tactran T2E Transport to Employment
When you use T2E we automatically collect certain information about how you use the service:
• Location information including your journey starting and ending point
• Journey searches and search history
• Device information — the type of device you use, operating system and version, and software version. We use this to diagnose technical issues and improve the service. We do not collect permanent device ID numbers or any information that can identify you as an individual
• Usage information — how and when you use Tactran T2E including pages visited and features used. We use this to understand how the service is being used and to make improvements
• Technical information — information about errors or crashes you experience, used to identify and fix technical problems
Data used for analytics and service improvement is anonymised and will not be identifiable to any individual person.
3. How we use your data: We use the information we collect to

• Provide you with journey planning information and transport services
• Remember your saved places, preferences and travel entitlements
• Respond to any support queries or feedback you send us
• Identify and fix technical problems with the service
• Understand how T2E Transport to Employment is being used in order to improve it
• Carry out research on transport choices to inform improvements to the local transport network and to report on key performance indicators
• to comply with the law or requirements of a regulator
• where necessary, to detect, investigate, or prevent crime, or to apprehend or prosecute offenders, respond to an emergency, safeguard vulnerable individuals, disclose data to a third party for the purposes of our public task and official functions set by UK law, or for national
security, public security & defence (these are known as “Recognised Legitimate Interests” under Data Protection laws)
We do not, and do not allow others, to use your data for marketing purposes and we do not sell your data to third parties. We only share your personal data as described in this Privacy Policy.
4. Our legal basis for using your data
Wherever we process your personal data we are required by law to have a legal basis for doing so. We rely on the following:
Consent (Article 6(1)(a) UK GDPR) — where you have chosen to provide us with personal information, such as creating an account, saving preferences or enabling location services, we process that data on the basis of your consent. You can withdraw your consent at any time by contacting us at the details listed below or by deleting your account.
Public task (Article 6(1)(e) UK GDPR) — Tactran is a public body with statutory responsibilities for regional transport planning under the Transport (Scotland) Act 2005. Some of our processing of personal data — particularly in relation to understanding transport use patterns and improving the transport network — is carried out in the exercise of those public functions.
5. Who we share your data with
We share your data only where necessary to deliver the T2E service. The organisations we work with are required by contract to handle your data securely and in accordance with UK data protection law.
5.1. Data processors
The following organisations process personal data on our behalf as part of delivering the Tactran T2E Transport to Employment service:
Service hosting and infrastructure —T2E are hosted on Amazon Web Services (AWS). Your data is stored and processed on AWS infrastructure operated by Ember Technology Ltd on behalf of Tactran, and by the wen service provide IONOS. Maps and directions —T2E use the Google Maps Platform, provided by Google LLC, to display maps and calculate route directions. When you use map or directions features, your journey origin and destination data is passed to Google Maps Platform to generate results. Member communications —T2E use Amazon Simple Notification Service (SNS), provided by Amazon Web Services Inc., to send transactional emails and notifications such as account confirmations and service updates. Your email address and notification content are processed by Amazon SNS solely for the purpose of delivering these communications. Analytics —T2E use Google Analytics, provided by Google LLC, to understand how the service is being used. Data collected is anonymised before use and is not linked to your personal account. Google’s privacy policy is available at https://policies.google.com/privacy
Session recording and heatmaps —T2E use Microsoft Clarity, provided by Microsoft Corporation, to analyse user behaviour including mouse movements, clicks and scrolling patterns. This helps us identify usability issues and improve the service. Data collected is anonymised and is not linked to your personal account. Error and crash reporting —T2E use Sentry, provided by Functional Software Inc., to capture and diagnose technical errors and application crashes. This data is used solely to identify and fix technical problems with the service. Sentry’s privacy policy is available at https://sentry.io/privacy/
Help centre —T2E use Tactran staff and Zoho Desk, provided by Zoho Corporation, to manage customer support requests. If you contact our support team, the information you provide will be processed by Zoho Desk. Zoho’s privacy policy is available at https://www.zoho.com/privacy.html
Uptime monitoring —T2E use Pingdom, provided by SolarWinds Worldwide LLC, to monitor the availability and performance of the service. Pingdom’s privacy policy is available at https://www.solarwinds.com/legal/privacy
OTHERS
Where required or permitted by law, we may also share your third party with:
· our professional advisers
· police and any other body with official authority to detect, investigate or prevent crime, or, to apprehend or prosecute offenders
· other third parties as necessary to comply with the law
5.2 Journey planning data sources
When you plan a journey, T2E uses data from a number of sources to provide you with travel options. These include transport operators and official data sources including the Bus Open Data Service (BODS), the National Public Transport Access Node database (NaPTAN), General Transit Feed Specification (GTFS) data providers, and the Traveline Scotland API. The origin and destination information you enter when planning a journey is used to query these data sources.
5.3 Transport operators and ticket retailers
If you choose to book transport through T2E, the relevant transaction information will be passed to the transport operator or authorised ticket retailer. Your contract for travel is with them directly. You should make yourself aware of individual conditions of carriage, carriers privacy policies, and terms before confirming transport.
5.4 Where your data is stored and processed
We do not intend to transfer your personal information to any country outside of the UK, or to any international organisation, except as follows:
· to a country in the European Economic Area. We transfer personal data from T2E to Traveline. We do this on the legal basis that transfers to countries within the EEA have been
approved by regulation by the UK Government, which confirm that the Republic of Ireland provides an appropriate level of data protection.
5.5 Security
T2E takes the security of your personal data seriously. We rely on security solutions provided by Ember Technology Ltd, which include ISO 27001 certification and Cyber Essentials Plus accreditation for information security management.
Personal data is protected by Ember’s Information Governance Policy and by a range of technical and organisational security measures including encrypted data transmission, network access controls, operating system access controls, boundary and firewall protection, and physical security controls. In the event of a data breach that is likely to affect your rights and freedoms, we will notify you and the Information Commissioner’s Office in accordance with our legal obligations.
6. How long we keep your data
We keep your personal data only for as long as is necessary to T2E the purposes for which we collected it, including satisfying any legal, accounting or reporting requirements as well as for any other allowable compatible purpose(s).
If you have a T2E account, we will keep your account data for as long as your account remains active. If you delete your account, your personal data will be removed within 30 days, except where we are required to retain it for legal or regulatory reasons.
Journey search data and usage information is stored against a unique identifier only and is not linked to your personal account. This data is retained in anonymised form for the purpose of service improvement and transport research.
If you contact our support team, we will retain records of that correspondence for up to two years in order to help us resolve any follow-up queries.
7. Your rights
Under UK data protection law you have the following rights in relation to your personal data:
• The right to be informed about how your data is used — which this Privacy Policy fulfils
• The right to access a copy of the personal data we hold about you
• The right to have inaccurate data corrected
• The right to have your data deleted in certain circumstances
• The right to restrict how we use your data in certain circumstances
• The right to object to our use of your data in certain circumstances
• The right to withdraw consent at any time, where we rely on consent or explicit consent as our legal basis
• The right of portability, that is, to request a copy of the personal information you have provided to us and the transfer of this to someone else in a portable format. Where technically feasible, you can ask us to transfer it directly to this other person
• The right not to be subject to automated decision making that produces legal or similarly significant effects on you. T2E do not use automated decision making of this kind
• The right to complain to Tactran if you feel that your personal data is not being processed in accordance with UK Data Protection laws (UK GDPR and Data Protection Act 2018).
